Daily Field Report (DFR) — dated, signed, complete for every active job

RWIC certifications on file — verified not expired for all deployed crew

Job briefing records — documented pre-job safety briefings

Timecard records — RFL activity codes applied to all time entries

Incident/near-miss log — with root cause and corrective action

Equipment inspection records — per FRA 213 requirements

Employee training records — including roadway worker protection (RWP)

Radio communication logs — for flagging zone coordination

Client notifications on file — schedule changes, delays, crew swaps

Subcontractor compliance docs — certs and briefing records for all subs

Multi-state wage allocation records — if crew worked across state lines

Chain of custody for signed documents — e-sign or wet signature with timestamps
