Getting Started

How long does implementation take?

Most crews are fully operational within one business day. Your crew data, certifications, and job roster can be imported from a spreadsheet. There's no hardware to install — field crews use any Android tablet, and the back office runs in a standard browser.

Do my RWIC workers need training?

The Field Tablet is designed for field use — large buttons, simple PIN login, and a step-by-step DFR flow. Most field workers are comfortable within one shift. Office staff typically need 2–4 hours to get comfortable with the Operations Console.

Is there a free trial?

Yes. You can access a live demo environment at railflagging-pro.madethis.app/try — no form, no credit card. Explore the Operations Console, Field Tablet, Employee Portal, and Client Portal with full demo data. When you're ready to set up your own company account, request a demo and we'll get you live within 24 hours.

Do you offer onboarding support?

Yes. Every new account gets a dedicated onboarding session to import your roster, configure your job types and RFL activity codes, and walk through the first DFR submission end to end.

Can I switch plans after I start?

Yes. You can upgrade from Small Crew to Large Crew at any time. Billing adjusts at your next renewal date.

Compliance & FRA

Are the Daily Field Reports FRA-compliant?

Yes. The DFR captures all required fields: job location, employee IDs, RFL activity codes, weather, start/end times, and field supervisor sign-off. Reports are timestamped, tamper-evident, and exportable as PDFs. During an FRA audit, your compliance officer can pull any date range in seconds.

How does the system handle RWIC certification tracking?

Each employee profile stores their RWIC certification number, issuing RRE, and expiration date. The system flags expirations 30 and 60 days in advance. The Operations Console shows a live certification status board across your entire crew — one screen, no spreadsheets.

Can I prove our DFRs are authentic during an audit?

Yes. Every DFR is timestamped at submission and locked — field supervisors can't retroactively edit a submitted report. The audit trail is stored in a tamper-evident log. If an auditor asks for a specific report, you pull it by date, crew, or job number.

Does the platform support multi-state operations?

Yes. The timecard module supports multi-state RFL activity codes, per diem rules, and state-specific payroll reporting. If your crews work across multiple states or railroads in a single pay period, the system tracks it correctly. The payroll export includes the breakdown your accountant or payroll provider needs.

Is the data backed up?

Yes. All data is stored in a managed cloud database with daily automated backups and point-in-time recovery. You're not running this on a local server that can get dropped in a field truck.

Pricing & Contracts

What does the pricing include?

Both the Small Crew ($598/mo) and Large Crew ($1,198/mo) plans include all four apps: Field Tablet, Operations Console, Employee Portal, and Client Portal access. The Client Portal add-on ($500/mo) enables branded portals for your railroad and DOT clients. The API & Webhooks add-on ($240/mo) is for companies that want to push data into their own systems.

Are there setup fees or long-term contracts?

No setup fees, no annual commitment. Billing is month-to-month. You can cancel at any time at the end of your billing period.

What counts as a "crew member" for plan limits?

Small Crew covers up to 15 active employees in your account. Large Crew covers 16–200. Employees who are inactive (off-roster, seasonal, terminated) don't count toward your limit.

Do client logins cost extra?

Client Portal logins for your railroad, DOT, or contractor clients are included in the Client Portal Add-On ($500/mo). There's no per-seat charge for client-side access.

Is there a discount for annual billing?

Not currently, but it's on the roadmap. Reach out via the demo form if annual billing is important to your decision — we'll work with you.

Security & Data

Who owns the data we put in the system?

You do. All DFRs, employee records, timecards, and documents belong to your company. If you cancel, you can export everything before your account closes.

Is the platform SOC 2 certified?

SOC 2 certification is in progress (target: Q4 2026). The infrastructure already runs on enterprise-grade cloud with encryption at rest (AES-256) and in transit (TLS 1.3), role-based access controls, and audit logging.

Can my employees see each other's pay stubs?

No. The Employee Portal is fully isolated by user — each worker can only see their own timecard history, pay stubs, certifications, and documents. No employee can access another employee's data.

What happens to our data if we cancel?

You have 30 days after cancellation to export your data. We provide a full export of your DFRs, employee records, and timecards as a CSV/PDF package. After 30 days, the data is purged per our retention policy.

Does the Client Portal expose any of our internal payroll data to clients?

No. The Client Portal shows only the data you choose to share: job status, DFR summaries, compliance documents, and invoices. Payroll, employee records, and internal operations are never visible to client users.
