Summit Rail Services runs RWIC flagging operations for three railroad clients across two states. Lisa Park, Operations Manager, gets an email at 7:45am: FRA wants to review their last 90 days of Daily Field Reports for a job site near St. Louis. She has 48 hours to pull the documentation.

Field Tablet: Crew Briefing

RWIC supervisor Marcus opens the Field Tablet on his Android tablet. The day's job briefing is already there — client, location, track authority limits, safety contacts. He reviews it with his crew before they split to their positions. No paper, no phone calls to dispatch.

Operations Console: Dispatch Assigns Coverage

Back at the office, Lisa pulls up the Dispatch workspace. She can see all three active job sites on one screen — which crew members are checked in, which positions are covered, whether any RWIC certifications expire in the next 30 days. She spots one cert coming due next week and schedules the renewal.

Field Tablet: Daily Field Report Submitted

Marcus completes the morning DFR directly on the tablet — work type, track authority used, weather, any incidents (none today). Photos of the work zone attached. He submits. It timestamps, signs, and locks the record. Lisa sees it immediately in the Operations Console.

Crew members submit their timecards at shift end. The Operations Console routes them through the two-step approval flow: supervisor first, then Lisa. RFL activity codes are already baked in — no manual lookup, no translation errors. Multi-state allocation runs automatically based on where each crew member worked.

Lisa opens the Safety workspace, filters DFRs by job site and date range, and exports the full 90-day record as a PDF package. Every report is timestamped, signed, and audit-ready. Total time: 8 minutes. She emails it to the FRA contact before the end of the business day.

Client Portal: BNSF Project Manager Reviews

The BNSF project manager for the St. Louis job gets a notification that new DFRs are available. She logs into the Client Portal, reviews the reports, and confirms crew coverage for the next day's window. She never had to call Summit Rail. The data is already there.

FRA Audit Response

Lisa would have spent 2–3 days pulling paper DFRs from binders, scanning handwritten forms, and emailing individual supervisors to confirm coverage records. Some reports would be missing. Dates wouldn't match timecards.
